Octopi / Use cases / Pipedrive data entry
CRM automation
Automate Pipedrive data entry from a spreadsheet
Open a spreadsheet, describe the task in plain English, and Octopi carries it out in Pipedrive for each row — creating or updating organizations, people and activities, checking for duplicates first and verifying every write.
How it fills Pipedrive
Describe the task
“Add each company to Pipedrive as an organization.” Octopi reads your columns and compiles the task into a workflow of browser, spreadsheet and Pipedrive steps.
It checks before writing
For each row it searches your Pipedrive for a matching record first, so a company that’s already there isn’t added a second time.
Each write is verified
After writing, Octopi verifies the change in Pipedrive instead of assuming the save worked.
| Row | Pipedrive action | Result |
|---|---|---|
| Acme Corp | Search → no match → create organization | created + verified |
| Globex | Search → matching organization found | not added again |
| Initech | Search → no match → create organization | created + verified |
Example run of “Add each company to Pipedrive as an organization.” Octopi checks for duplicates before writing and verifies each record afterward.
What can Octopi do in Pipedrive?
Octopi works with organizations, people and activities (tasks and calls). Since a task becomes a workflow of browser, spreadsheet and Pipedrive steps, web research and Pipedrive data entry can happen in the same run.
Find organizations and people
Search your Pipedrive for a company or a person — for example, to see whether they’re already there before you add them.
Add organizations and people
Turn the rows of a spreadsheet into new Pipedrive organizations and people.
Update existing records
Change details on organizations, people and activities that are already in Pipedrive, such as a person’s label.
Create tasks and calls
Add an activity for each row with the subject and due date you give, such as a task “Intro call” due next Monday.
Mark done and link people
Mark an activity done, or link a person to an activity so it’s clear who the task or call is with.
See the latest activity
Show the latest activity, so you know where things stand.
Example Pipedrive tasks you can type
Write the task the way you’d brief a colleague, naming Pipedrive. It’s how you add organizations to Pipedrive from an Excel (.xlsx) or CSV file, or bulk update the records you already have, without copying and pasting field by field.
| Where | You type | What happens |
|---|---|---|
| From the sheet | “Add each company to Pipedrive as an organization” | Each company becomes an organization, unless a matching one is already there. |
| From the sheet | “Create a task ‘Intro call’ due next Monday in Pipedrive for each company” | A task for each company, with that subject and due date. |
| In the chat | “Is Acme in Pipedrive?” | Octopi searches your Pipedrive and answers with a card. |
| In the chat | “Set the label of Jane Roe to Hot lead in Pipedrive” | The change is shown as a card first and waits for your Confirm. |
Acme and Jane Roe are placeholder names.
Why Octopi for Pipedrive
Your own signed-in Pipedrive
Octopi works in Pipedrive through your own signed-in session in the browser. There’s no API key to create and no integration to set up.
The one account that’s open
It works in the one Pipedrive company account open in your browser. If several different ones are open, it says so instead of guessing.
Checked first, verified after
Every write starts with a duplicate check and ends with a verification in Pipedrive.
Only the columns you asked for
Octopi writes to your sheet only in the columns the task declared, and every value it writes there carries a clickable source.
A Pipedrive AI assistant in the chat
Not every change needs a spreadsheet. Octopi’s chat runs an open-weight AI model on your Mac and can look things up in your Pipedrive or prepare a one-off change: ask “Is Acme in Pipedrive?” or “Set the label of Jane Roe to Hot lead in Pipedrive”. A change is shown first, as a card, and waits for your Confirm.
To skip that step, turn on Always allow for Pipedrive in Settings. It’s off by default and applies only to that CRM.
Is my Pipedrive data private?
Octopi’s AI model runs on your Mac, through Ollama, the open-source engine that serves it, and Pipedrive is used through your own signed-in session in the browser.
Octopi does go online to do what you ask: the web searches and page reads you request, your signed-in Pipedrive, the one-time model download and update checks. Usage statistics and scrubbed error reports are on by default, linked to the download email; switching them off in Settings ▸ Privacy unlinks and stops them. Your spreadsheets, contact lists, prompts and credentials are not sent, though a scrubbed error line can still name a page or field.
Octopi Cloud (Claude planning your task or reading public web pages for you) is off unless you turn it on, each part with its own consent screen. Even then, your CRM and the sites you sign in to are always handled on your Mac.
Questions
Which Pipedrive records can it fill?
Organizations, people and activities (tasks and calls). Octopi can search for them, create and update them, mark an activity done, link a person to an activity and show the latest activity.
Will it create duplicates?
Octopi checks your Pipedrive for a matching record before it writes, so a company that’s already there isn’t added again. After each write, it verifies the result in Pipedrive.
Do I need a Pipedrive API key?
No. Octopi works in your own signed-in Pipedrive, in the browser, so there’s no API key or integration to set up.
What if I have more than one Pipedrive account?
Octopi works in the one Pipedrive company account open in your browser. If several different ones are open, it says so instead of guessing which one you meant.
Does it work with HubSpot and Salesforce too?
Yes. Octopi finds, creates and updates companies, contacts and tasks in Salesforce, HubSpot and Pipedrive, with the same duplicate-safe, verified writes.
What do I need to run it?
A Mac with Apple silicon running macOS 13 or later; it doesn’t run on Intel Macs. Octopi is free and needs no account.
Where does my data go?
The records you ask for go to your own Pipedrive, and the AI model runs on your Mac. Usage statistics and scrubbed error reports are on by default; switch them off in Settings ▸ Privacy. Your spreadsheets, contact lists, prompts and credentials are not sent.
