Octopi / Use cases / Salesforce data entry
CRM automation
Automate Salesforce data entry from a spreadsheet
Point Octopi at a spreadsheet and describe the task in plain English. It researches each row and creates the right Salesforce records — Accounts, Contacts and Tasks — checking for duplicates and verifying every write.
How it fills Salesforce
Describe the task
“For each row, create the account and add the contact in Salesforce.” Octopi reads your columns and compiles the workflow.
It researches and matches
For each row it fills any missing details, then searches Salesforce for an existing record before writing — so it reuses an existing record instead of creating a duplicate.
Each write is verified
Octopi creates the record, then reads it back to confirm the write landed. A row it can’t confirm is flagged, never reported as a false success.
| Row | Salesforce action | Result |
|---|---|---|
| Acme Corp | Search → no match → create Account | created + verified |
| Globex | Search → existing Account → add Contact | contact added |
| Initech | Duplicate detected | skipped (already exists) |
Example run. Octopi dedups before writing and verifies each record afterward.
Why Octopi for CRM data entry
Dedup before every write
Octopi searches for an existing record first and reuses it, instead of creating a duplicate.
Every write is verified
It reads the record back after writing. A write it can’t confirm is flagged honestly, never marked as done.
Not just Salesforce
The same plain-English flow fills HubSpot records, so you’re not locked to one CRM.
Runs on your Mac
Octopi works through your own logged-in browser session and a local AI model; records are written only to your own CRM account.
Questions
Will it create duplicate records?
No. Before writing, Octopi searches your CRM for a matching record. If one exists it doesn’t create another — it skips the create, or adds the new contact to that existing account.
Which Salesforce objects can it fill?
It creates Accounts, Contacts and Tasks from your rows, can mark tasks complete and link contacts to tasks, and can read a record’s latest activity. It can also update fields on records that already exist — by default it fills only empty fields, and it replaces existing values only when your task says so.
Does it work with HubSpot?
Yes. The same plain-English workflow creates and updates HubSpot records, so you can use either CRM.
Does it need my Salesforce password?
Octopi works through your own logged-in browser session on your Mac — you stay in control of the login, and writes are gated and verified.
Where does my data go?
Only where you send it: the records you ask for are written to your own Salesforce org, and web lookups go directly from your Mac. Your spreadsheets, contact lists and prompts are not sent to Octopi’s servers — only usage statistics and scrubbed error reports, which you can switch off in Settings ▸ Privacy.
